# Travel Coordinator

> A travel coordinator is the production office staffer who books and manages travel for cast and crew on a film or series. They negotiate hotel blocks, book flights under each union's travel class rules, write the travel movement memo, manage rooming lists and rental cars, and work with accounting on per diem. They report to the production coordinator and are most common on distant location shoots.

A distant location shoot moves a small town. Forty crew flying in from Los Angeles and Atlanta, eight cast members on different schedules, two dozen hotel rooms for local hires on split days, rental cars for department heads, and every piece of it shifting when the schedule changes. On small shows the coordinator or APOC books all of this. On larger shows it's a dedicated job, and the travel coordinator sits in the production office next to the coordinator.

## Prep: the hotel block and the first travel wave

Hotel negotiation usually starts before most of the crew is hired. The travel coordinator gets a headcount estimate and dates from the UPM, calls hotels near the production office and main locations, and negotiates a block. The terms that matter are the nightly rate, how many rooms can be released without penalty (attrition), parking, breakfast, laundry, and whether the rate holds if the shoot extends.

The budget check is simple arithmetic. If the line producer budgeted housing for 18 out-of-town crew for 32 nights at $149 a night, that's $85,824 (18 x 32 x $149). A hotel offering $139 but requiring a 25-room minimum can end up costing more if the show only fills 18 rooms, so the travel coordinator runs both versions before signing.

Then the first wave of travel: department heads and their seconds come in for prep weeks before the shooting crew. For each person the travel coordinator needs legal names matching ID, date of birth for booking, frequent flier numbers, seating and dietary notes, and the deal memo terms on travel and per diem.

## Union travel rules

Union agreements set travel class, and they differ. The DGA's 2026-27 rate card, for example, says ADs and UPMs fly coach on non-stop flights under 1,000 air miles and on flights between Los Angeles and Vancouver, with elevated coach when available. All other flights are business class when available, and first class if business isn't. Baggage fees and in-flight meals on coach flights get reimbursed if receipts come in within 30 days. And if a DGA member is on the same flight as another employee of the production who is entitled to a higher class under their own agreement, the DGA member gets upgraded to match.

Cast travel under SAG-AFTRA agreements, and crew travel under IATSE and Teamsters agreements, have their own rules, and principal cast deals often add terms on top. The travel coordinator keeps a summary of each person's entitlement next to the booking sheet so nobody gets booked in the wrong cabin.

## The travel movement memo

Every traveler gets a movement memo, and so do transportation, the ADs (for cast), and accounting. A sample:

The memo is reissued any time a flight or pickup changes, with the version date at the top. Cast arrival and departure dates also have to match the [day out of days](https://storiara.com/glossary/day-out-of-days) and any [travel day](https://storiara.com/glossary/travel-day) pay under the actor's agreement.

## During the shoot

Once the company is on location, the work is change management. A cast member's work days move, so their flight moves. A day player gets added for Friday. A crew member has a family emergency and needs to fly home tonight. The travel coordinator updates bookings, rooming lists, and rental cars, and reissues memos. They also work with transportation on airport runs and with accounting on [per diem](https://storiara.com/glossary/per-diem): who gets it, for how many days, and when it's paid.

At wrap the process runs in reverse, with a departure memo, hotel checkouts, damage and incidental charges reconciled, and rental cars returned. Unresolved hotel incidentals are a common late invoice, so the travel coordinator collects credit card authorizations or sets house rules at check-in.

## Who they work with

The travel coordinator reports to the [production coordinator](https://storiara.com/roles/production-coordinator) and works daily with the [transportation coordinator](https://storiara.com/roles/transportation-coordinator), the 2nd AD (cast schedules), the production accountant (per diem, travel invoices, and whether a change fits the budget), and casting (cast deals and travel terms). Studio and streamer productions sometimes route bookings through a corporate travel agency, and the travel coordinator manages that relationship.

## Union coverage, pay, and getting hired

IATSE Local 161 lists travel coordinators among the classifications it represents on the East Coast. The Local 161 wage schedule published through the AMPTP for 2025-28 covers script supervisors, coordinators, and assistant coordinators, and doesn't list a separate travel coordinator minimum, so pay is typically negotiated as a weekly rate. Local 871's list of crafts in Los Angeles doesn't include the title.

Most travel coordinators come from the production office (APOCs who handled travel on smaller shows) or from the hospitality and travel industry. Knowing airline and hotel booking systems helps. Knowing how a shooting schedule changes and what a SW / W / WF line on a day out of days means for a flight is what keeps them hired.
