How to schedule call sheet emails

Set a Storiara call sheet to email itself up to seven days before the shoot at a chosen time and time zone, and cancel it from Reminders if plans change.

Most productions want the call sheet out the evening before, after the day's wrap report is in. Scheduling does that without someone remembering to hit send from set.

Steps

  1. On Callsheets, choose the shoot day in the day menu and click Send.
  2. Under Recipients, tick the cast and crew who should get it.
  3. Tick Schedule callsheet send.
  4. Set Days Before Shoot: Same day, or 1 day before up to 7 days before.
  5. Set Send Time.
  6. Pick the Timezone: Eastern, Central, Mountain, Pacific, Alaska, Hawaii, or UTC.
  7. Read the line under the fields, such as "Will send on Wednesday, October 8 at 06:00 PM (America/Los_Angeles)".
  8. Click Schedule Callsheet. You'll see Callsheet Scheduled.

As a worked example, Day 4 shoots on Thursday, October 9 in Los Angeles. With 1 day before, Send Time at 6:00 PM, and Pacific Time (PT), the email goes out Wednesday, October 8 at 6:00 PM Pacific. Storiara's servers check for due messages every five minutes, so it can land a few minutes after the set time.

Changes after you schedule

The email carries a link to the web call sheet for that date, so edits you save on the sheet before people open it are what they see. The recipient list is fixed when you schedule. Someone added to the crew afterward won't get that email, so send to them separately.

If the shoot day moves, cancel the scheduled send and create a new one. Open Reminders, go to the Scheduled tab, find the "Callsheet - Day 4" entry, and click the X beside it. The message Message Cancelled confirms it.

If it doesn't work

  • Schedule Callsheet greyed out means no recipients are ticked.
  • A send that never arrived: check the Scheduled tab. If it's still listed, the time hasn't passed in the zone you picked. Mixing up ET and PT is the usual cause.
  • People with (No email) can't be included. Add their email on Cast & Crew, then schedule again.
  • There's no text-message option. For a crew that lives in a group chat, share the call sheet link there as well.
