How to send reminders to cast and crew

Write a message on Storiara's Reminders page, pick cast and crew recipients, and email it now or schedule it for a set date, time, and time zone.

Reminders is Storiara's email broadcast page: fitting times, "bring your own lunch Saturday", a location change. Messages go out by email only, with no text messages or push notifications.

Steps

  1. Open Reminders under Coordinating.
  2. Click New Message. It's disabled until the story has cast or crew.
  3. In Send New Message, fill in Title and Message. The title becomes the email subject line people scan, so make it specific: "Day 6 call moved to 5:30 AM" beats "Update".
  4. Under Recipients, tick names in Cast Members and Crew Members, or use Select All.
  5. To send now, click Send Message. Message Sent! confirms how many people it went to.
  6. To send later, tick Schedule for later, set Date, Time, and Timezone, check the "Will be sent on" line, and click Schedule Message.

Keeping track

The page has two tabs. Sent Messages lists what went out, including call sheets emailed from the Callsheets page. Scheduled lists what's waiting, with call sheet sends mixed in. Click the X on a scheduled item to cancel it before it goes. Scheduled messages are picked up by Storiara's servers every five minutes, so allow for a short delay.

Recipients come from the Cast & Crew page, so a message can only reach people entered there with an email address. There's no free-text address field.

A worked example

On a 15-day shoot with a Saturday company move, the coordinator writes Friday's reminder on Tuesday: title "Saturday: base camp moves to Pier 3", message with the new address and parking notes, recipients set to Select All for both groups. They tick Schedule for later, choose Friday at 7:00 PM Pacific Time (PT), and click Schedule Message. If the move is cancelled Wednesday, the X on the Scheduled tab stops it.

If it doesn't work

  • "No Valid Emails" means none of the people you ticked have an email saved.
  • "Missing Information" appears when Title or Message is empty.
  • "Invalid Schedule Time" means the date and time are already past in the zone you picked.
  • If a recipient didn't get it, check their email on Cast & Crew and ask them to look in spam.
