How to use the shared to-do list

Every story has one shared checklist for the people working on it. Prep generates dozens of small jobs, like confirming the honeywagon, sending the location agreement, or chasing a minor's work permit, and this keeps them in one list everyone on the story can see.

Steps

1. Select the story. Shared To-Do appears at the bottom of the sidebar.
2. Click Shared To-Do. The page is titled with the story name.
3. Click Add item.
4. In Add To-Do Item, write the Task. Name the thing and the day: "Confirm catering count for Day 3, 42 crew + 6 cast."
5. Under Assign To (optional), pick one or more people. The list shows people who have access to the story.
6. Set a Due Date (optional).
7. Click Add Item.
8. When a task is done, click the circle beside it (Mark complete). It moves to the Completed tab.

Keeping the list honest

The Pending and Completed tabs show counts, and Sort orders tasks Soonest first or Latest first by due date. Use the three-dot menu on a task (Task actions) to Edit or Delete it. Editing opens Edit To-Do Item, where you can change the task, assignees, and due date, then Save Changes.

When every task is checked off, the Shared To-Do item in the sidebar turns green, which makes it a quick daily glance for the producer.

Cast and crew entered on the Cast & Crew page can't be assigned, because they don't log in. Give those jobs to the collaborator who manages them. To bring someone into the list, invite them to the story first.

A worked example

Two weeks out, the line producer adds "Send location agreement to Rosie's Diner" assigned to the location manager, due Friday, and "Minor work permit for Day 5 actor" assigned to the coordinator, due Wednesday. Sorting Soonest first puts the permit on top. The coordinator checks it off Tuesday, and the list drops to one pending item.

If it doesn't work

• No Shared To-Do in the sidebar means no story is selected. Pick one on My Stories.
• A person is missing from Assign To: they aren't a collaborator on this story yet.
• If Add Item won't click, the Task field is empty.
