How to set collaborator roles and permissions

Change a collaborator's role in Storiara, build a custom role that opens only chosen pages, transfer admin, or remove someone's access to a story.

Only the story owner can change roles. Each role opens a set of sidebar sections, and anyone with a role can edit inside the pages they can reach. There is no view-only role.

A Producer can also duplicate the story. Only the owner can delete it.

Changing a role

  1. On My Stories, click Manage on the story card.
  2. Under People on this story, open the role menu next to the person.
  3. Choose the new role. Role Updated confirms it.

Building a custom role

  1. In the same role menu, choose Custom Role.
  2. Custom Permissions opens with the pages grouped as Core Access, Planning, Coordinating, and Financing.
  3. Tick the pages this person needs, or use Select All on a group. A production designer, for example, might get Scenes, Locations, and Assets only.
  4. Click Save Permissions.

Ticking Budget gives that person budget view and edit together. If your selection exactly matches a preset (every Planning page and nothing else, say), Storiara saves it as that preset, Department Head in this case.

Handing over or removing access

The same menu has Make Admin, which transfers full control of the story to that person, and Remove Access. A collaborator who wants out can choose Leave Story on their own row.

If it doesn't work

  • No role menus? You aren't the owner. Owners are the only ones who can change roles.
  • Save Permissions did nothing visible? If the pages matched a preset, the person now shows that preset role instead of Custom Role.
  • A collaborator still sees a page you removed: ask them to reload the app so it picks up the new role.

Invitations are covered in how to invite collaborators, and the My Stories guide covers the rest of the story card. On larger shows, the line producer usually decides who sees the budget.
