How to send a call sheet
Email a day's call sheet to selected cast and crew from Storiara's Callsheets page. Each person gets a link to the web version of that day's sheet.
Storiara builds a call sheet for each shoot day from the stripboard, cast and crew, and locations, and you edit it in place before it goes out. Sending emails a link to the web version of that day's sheet. Nothing goes out by text message.
Get the sheet right first
The Callsheets page only opens once the production schedule has dates. Pick the day from the menu at the top right ("Day 4" with its date), then work down the sheet. Times, notes, and the logistics block are all editable. The nearest hospital isn't looked up for you: click Set Nearest Hospital and type or pick the address. Weather is pulled for an address you can change from the weather box, and a date too far out shows no forecast yet.
If the schedule changed after you started editing, the reset icon (Reset day from updated data) rebuilds the day from current data. It also throws away that day's manual changes, such as call times and special instructions, so use it before you fine-tune, not after.
Steps
- On Callsheets, choose the shoot day from the day menu.
- Click Send.
- In Send Callsheet, check the day line at the top. It shows how many items are scheduled that day.
- Under Recipients, tick people in Cast Members and Crew Members, or use Select All in each group. Anyone marked (No email) can't be ticked.
- Leave Schedule callsheet send unticked to send now.
- Click Send Callsheet.
- Look for Callsheet Sent, which gives the day and the number of recipients.
The send is also logged on Reminders under Sent Messages, so the production office can see who got which day.
What recipients see
The email links to a page for that shoot date that opens without a Storiara login. It has Print and Download buttons, which open the phone or computer's print dialog. Everyone on the send gets the same link.
If it doesn't work
- Send greyed out means the story has no cast or crew yet, or the day's sheet hasn't loaded.
- If someone is missing from the list, add them on Cast & Crew first. Only people entered there can receive the sheet, so a location contact or caterer needs an entry too.
- "No items scheduled on this day" is only a warning. The sheet still sends, with no scenes on it, so check the stripboard first.
- A person says nothing arrived: check the email on their Cast & Crew card, then ask them to look in spam.
