How to send availability requests
Email cast and crew a link to Storiara's availability form for your shoot dates, track who has answered, or enter someone's availability yourself.
An availability request emails a person a link to a form showing your shooting dates and daily hours as a grid of 15-minute slots. They mark when they're free, and the answer lands on their card and in the day panel next to the stripboard. Nobody needs a Storiara account to fill it in.
Before you send
Set the production schedule first. The form has nothing to show without dates, and clicking Send on a card without a schedule opens Set Production Schedule instead. Each person also needs an Email on their card.
Steps
- Open Cast & Crew and pick the Cast or Crew tab.
- Find a card marked Needs Availability.
- Click Send on the card. Request Sent confirms it, and the button changes to Resend.
- Repeat for everyone else, or add new people with an email, which sends the request automatically once dates exist.
- When someone submits, their card shows View and Edit Availability in place of Send.
- Click View to see what they submitted.
Filling it in for someone
Plenty of day players will tell you their dates over the phone instead. Click Set Availability on the card to open Edit Availability. Choose the Timezone and Date Range, then drag across the grid or use All, Weekdays, Weekends, or None. The Screenshot button reads an image of someone's calendar and fills in the grid for you to check. Click Save Availability.
For someone free on every date, the check icon (Mark as always available) skips the grid.
Reading the answers while scheduling
On Schedule, the panel beside the stripboard lists who is available for the day your cursor is over. It's informational. You can still schedule a scene on a day an actor marked unavailable, so read it before dragging strips around, the same way you'd check a hold day against a deal.
If it doesn't work
- "Missing Email" means the card has no email. Click Edit, add it, and send again.
- Someone says the form shows "Production Schedule Required": the dates were cleared or never saved. Set them and ask the person to reload the link.
- If a request seems lost, click Resend and ask them to check spam.
- Changed the shoot dates after people answered? Their saved slots were for the old dates. Ask them to reopen their original link and submit again, or update it yourself with Edit Availability.
